Business Letters
Through learning
about business letter writing, it is important to be aware of the components of
a good business letter. You will need to be aware of three such components, and
they are the tone, the format, and the overall organization of the letter. This
will serve as a reinforcement of what you may have already learned in your high
school English class.
Tone
Just as with any other piece of writing, tone is important. It is the tone that sets
the stage for the rest of the letter. When writing a good business letter, you
should make sure that the tone is relatable to the audience in which it
targets. Also, the tone of the business letter should be
appropriate.
Since it is a business
letter, more than likely the tone should reflect a certain amount of
professionalism fused with confidence in conveying the intended message. When
writing, just like when talking, there is a fine line between confidence and
arrogance. You will want to have a few proofreaders on deck that can ensure
that the tone of the letter is appropriate.
Infused with the
tone is the lingo or linguistics. You would not write a business letter that
had slang or overtly casual colloquial language in it, because it would be a
bad reflection on you. In writing the business letter you should keep the
language polished and formal.
Format
The format of a business letter is an essential component of the
letter in general. Formatting includes everything from the visual style
of the letter to the grammar and salutations.
In essence all business letters are written in a block style letter format. The
block style letter means that everything is flush, and the entire letter is
left justified.
You would start
your block letter by formatting all of the margins to one inch. Then at
the top left you would place your address, and below that would be the date
that you are typing the letter. Below the date would be the address of the
recipient (which includes the name of the company, in addition to the name and
title of the reader.
Below the
address is the salutation which would read, “Dear Mr. or Ms. So-and-So.” If you
go two lines below the salutation you could begin the body of your letter. This
would state the innate purpose of the letter and introduce any points of note.
Normally, the body of the letter might be several paragraphs. Two lines or so
after the last paragraph of the body of your letter would be your closing
salutation and below that would be your signature and your typed
name.

When you write a
business letter it is important to make sure that the letter is direct and to
the point. With a business letter formality is essential and professionalism is
key. Additionally, you should make sure that everything is formatted
appropriately and that all words are properly spelled.
